    Can you clarify the process as it relates to VN and VT codes?

    We have reviewed the list of VN programs from the list you sent out earlier.  Many of those listed for our region are actually career field courses (also known as first courses).  Previously, those courses did not require a CTE-26/POS to switch to Tech Prep provided that the course leads to an approved Tech Prep program.  Overrides were applied to the career field course once it was submitted in EMIS with a “VT” curriculum code.  Is that still the case?  If so, what is needed from the district?  ANSWER: As long as the first course is part of an approved two-digit program code, then no further action is needed. There is still the requirement for a unique, separate CTE26/POS for each building. If the first course is offered in a different building as in a satellite program in a JVSD, then a separate CTE26/POS must be submitted for the first course.

    How can local contacts be better informed during the process?

    The Ohio Department of Education (ODE) has the College Tech Prep Chief Administrator (CA) contact on the front page of the CTE-26, but it also would be helpful if the CAs knew if and when forms were submitted to ODE. ANSWER: The staff member in charge will be directed to send an email notification to the respective College Tech Prep Regional Center with relevant information about the electronically submitted FY2014 CTE-26/POS.

    How can the signature be created electronically with different computer software?

    I cannot create a signature in the document because on my computer it opens in Foxit and not Acrobat.  Another person in our office discovered that even though her computer opens the document in Adobe Reader, it would not work.  We think that it might have to do with the version of Adobe Reader. ANSWER: There are a couple different issues here. First, the Foxit reader issue. You have Foxit set as your default pdf software. You can fix this by downloading the assurances pdf to your desktop, right clicking on it, selecting “open with,” and then choosing Adobe Acrobat. Secondly, on your colleague’s machine you mentioned that you are unsure if the software is up to date. If there is any question at all about this, we recommend visiting www.adobe.com and making sure you have the latest software version.

    How can you do the electronic signature?

    How will ODE help the secondary and postsecondary partners, who have to complete and sign this docum

    The Tech Prep Regional Center personnel can play an important role in providing support and disseminating information about completing the FY2014 CTE-26/POS forms. ODE/CTE conducted a webinar for Tech Prep Regional Center personnel and the ODE Career Field consultants regarding how to complete the forms with electronic signatures.     How will Tech Prep (TP) centers be informed of a document’s progress?

    When original signatures were required last year, TP centers were able to track the progress of the documents because they typically facilitated the signatures.  Now with the e-signatures, centers will not have to do that. ANSWER: At this time, the submitting secondary schools and associated Regional Tech Prep Center will be notified by e-mail when FY2014 CTE26/POSs are submitted. Approval letters will be sent to the submitting secondary schools by the career field consultants as in the past.

    Is there a solution you would suggest that will allow us to maintain the same name for your purposes

    Since this question, we made changes to the system so the need to keep the file name the same is no longer needed. Initially, we directed folks to keep the file name the same so that an operational connection would be made when the Excel 26 application and PDF Assurance and Signature page were downloaded from the Ohio Department of Education website to an individual’s desktop. We have changed the language in the directions for the FY2014 CTE26/POS forms.

    What about year 3 and 4 when a program links to a bachelor’s degree?

    There is no room on the Postsecondary POS form to include Years 3 and 4. ANSWER: A button has been added to enable individuals to generate additional postsecondary POS pages.

    When are schools expected to use the newest edition of this form?

    Schools that have started a CTE-26/POS using an FY2013 form can complete this form and submit via mail. As of February 18, 2013, all CTE-26/POS applications need to use the FY2014 CTE-26/POS electronic version. If the electronic version is not operational for various reasons, school districts still have the option of completing the form online, printing a hard copy and submitting to ODE with original signatures by mail, scanning or FAX.
