What is a Data Tool?
A Data Tool is an ODE-sponsored resource that may help implement a data-driven process, conduct analysis on how schools and districts are doing or explain the data results. A data tool may be utilized by the general community, teachers, and administrators to help them understand data that is tied to the state and their district. This ranges from student achievement data, career technical data, early learning & school readiness, exceptional children and financial information.

How do I locate the Data Tools portal page?
The Data Tools portal is located on the Ohio Department of Education website.  From the main header at the top of the page, highlight “Data” and select “Data Tools” from the drop down options.  This takes you to the Data Tools home page.

How do I set up My Data Tools page?

Do I have access to all the Data Tools?

Each data tool has a link that is available to the public.  Data tools that require a username and password are represented with a lock icon next to their names.  Authorization for a data tool is granted by the administrator of that particular data tool.  To obtain access to a data tool requiring credentials, you may contact the data tool representative found on the “About Data Tools” page or visit the data tool’s website for more information.

When I navigate away from My Data Tools page, am I still signed into SAFE?

Yes.  Until you select SAFE Sign-out at the top of the ODE website or close your internet browser, you are still logged into My Data Tools page.  Even after signing out of SAFE, you may still be signed in to certain data tools until you close your browser.

How long can I be away from My Data Tools page before I am automatically logged out due to inactivity?

Because you are using your SAFE account to access the My Data Tools page, the activity timeout session is the same as SAFE.  Find more specific information regarding SAFE.

How do I get answers to questions that are not in the FAQs?

How can I obtain access to a data tool that requires a username and password?

Authorization for a data tool is granted by the administrator of that particular data tool.  To obtain access to a data tool requiring credentials, contact the data tool representative found on the “About Data Tools” page.

Which browser should I use to access the data tools portal?

The Data Tools Portal is tested with the latest versions of Internet Explorer, Firefox, and Safari, although other browsers are likely to work as well.  It is important to have Javascript and cookies enabled.

Is using My Data Tools page the only way I can access data tools?

No, you are able to access the data tool via its URL outside of the My Data Tools page; however, the Data Tools Web Portal improves user access to the tools with a single sign in to access all of your tools and a customized page to organize and track your ODE tools.

How do I find a Data Tool that I do not know the name of?

On the Data Tools homepage, select your user type and use the questions to help narrow down which data tool you are looking for.  You may also select the “Category” option on the left side of the page to help filter through the data tools as well.

Why am I asked for a username and password multiple times on the My Data Tools page?

As part of the initial setup for personalizing My Data Tools page, you may take advantage of the single sign on capabilities by storing your account information for each data tool that requires credentials.  This one time configuration setup will enable you to log on to multiple data tools with one username and password.

Why am I receiving a login error while accessing a data tool I set up on My Data Tools page?

There are a few reasons this could be occurring.  Check that your username and password did not expire and you have not recently changed them.  If you changed your username and password on the data tool website, you will need to re-enter that in on the My Data Tools page to ensure that it is synced.

How do I set up a SAFE account?

The Security Application For Enterprise (SAFE) is a Web Portal and a "single sign on" software security solution for Ohio Department of Education (ODE) customers.  Visit: https://safe.ode.state.oh.us/portal/signup/ to sign up for an account.

How do I reset a password?

If you need to change a password on the My Data Tools page, refer to the My Data Tools Portal Set-Up Job Aid.  If you have forgotten your password for a particular data tool and need that password reset, visit the data tool‘s website to follow their password reset process.  You may also contact the data tool representative found on the “About Data Tools” page for the data tool of interest.

Can I change my choice for how I sign in using My Data Tools?

If you have previously chosen the “Remember my selection” option on the “sign in with My Data Tools prompt screen” page, your choice is stored in a browser cookie.  Clearing your browser’s cookies will allow you to see the prompt screen again.

How can I access the SAFE Portal home page when I am signed in using My Data Tools page?

There are different ways you can access the SAFE home page.  You may enter in the SAFE URL into a new page in your browser or you may add the SAFE URL to your “My Links” section on the My Data Tools page.

After I set up my accounts on My Data Tools page and select a secure data tool, I see a page flash on my screen. What is this?

If you see a quick flash of your username and password being filled in on the secure data tool’s website, this is the system automatically performing the single-sign-on for you.

When I select a secure tool and am prompted for a username and password, what am I suppose to enter?

You are being asked to enter your username and password for that specific data tool that you selected.

How do I sign out of My Data Tools page?

Select SAFE Sign-out at the top of the ODE website to logout of your My Data Tools page.  This takes you to the SAFE portal log on page.
