New (GRAD-003) Potential College Credit Report
The new (GRAD-003) Potential College Credit Report is intended to assist districts and schools with ensuring complete reporting in EMIS of college credits earned by each student. These credits are reported in EMIS in the Dual Enrollment Credit Earned field on the Student Graduation–Core Summary (GC) Record. Credits are reported on the GC Record by the area of the credits (math, English, science, etc.) and are then totaled across areas for each student. One statistic on the report card includes students who earned 12 or more college credits during their school career, so accounting for all credits earned is more important than in years past. Those 12 credits can include credits transcripted after the student graduates, as long as the work to earn those credits (such as completing an AP course and assessment or successfully completing a Career Tech Articulated Credit course) was completed before a student graduated.
 
Districts should already know and report the college credits earned through College Credit Plus courses since the student earns those credits at the end of the course. However, there are two types of courses on this new report that represent potential college credit. For these courses, college credits earned by each student will vary based on where the student enrolls and/or the criteria used at a particular institution of higher education to award credit. Many times, the information needed for the GC Record may not be available until a student enrolls in college, but the information can still be reported in EMIS in the Graduation (G) Collection.
 
This new report examines the available EMIS-reported information from a student’s pre-graduation experiences and compares it to data reported on the GC Record. In cases where there may be additional credits that could be reported, districts and schools will have to determine if that credit was actually earned and update the GC Record appropriately. There will be situations where there is no additional transcripted credit to report, but it is our hope that districts will find this report helpful as a checklist to make sure that reporting is complete.
